Do not give every employee access to every folder merely because managing permissions takes time.<\/p>\n\n\n<h2 class=\"wp-block-heading\">Use collaboration tools for work in motion<\/h2>\n\n\n<p class=\"wp-block-paragraph\">Chat, channels, tasks, meetings, and coauthored documents help people coordinate current work. These systems are useful when the conversation and the document need to stay connected.<\/p>\n\n\n<p class=\"wp-block-paragraph\">But a chat history is a poor permanent policy library, so important decisions, procedures, and final files should move into a stable location with an owner and review date instead of remaining buried in a conversation.<\/p>\n\n\n<h2 class=\"wp-block-heading\">Use an intranet as an internal front door<\/h2>\n\n\n<p class=\"wp-block-paragraph\">An intranet becomes useful when employees need one structured starting point for policies, forms, contacts, announcements, training, links, department resources, and common tasks. It does not have to contain every file; it can guide people to the authoritative system.<\/p>\n\n\n<p class=\"wp-block-paragraph\">Imagine a new employee trying to request time off, find the current benefits guide, report a security concern, and locate an approved sales template. If those tasks cross several systems, an intranet can explain the route and identify the authoritative source.<\/p>\n\n\n<h2 class=\"wp-block-heading\">Design permissions and ownership before pages<\/h2>\n\n\n<p class=\"wp-block-paragraph\">An internal platform still contains sensitive information. CISA recommends multifactor authentication for file storage and remote access and emphasizes protecting privileged accounts in its <a href=\"https:\/\/www.cisa.gov\/audiences\/small-and-medium-businesses\/secure-your-business\/require-multifactor-authentication\" target=\"_blank\" rel=\"nofollow\">MFA guidance<\/a>.<\/p>\n\n\n<p class=\"wp-block-paragraph\">Use role-based access, separate administrators from ordinary users, and establish a process for joiners, role changes, and departures. Decide which information may be visible to everyone, which belongs to a team, and which should remain in a restricted business system.<\/p>\n\n\n<p class=\"wp-block-paragraph\">Every important section also needs a content owner. Without one, an intranet becomes a polished collection of outdated policies, broken links, and announcements nobody trusts.<\/p>\n\n\n<h2 class=\"wp-block-heading\">Pilot the highest-friction tasks<\/h2>\n\n\n<p class=\"wp-block-paragraph\">Do not begin by migrating every document. Choose five to ten common tasks employees regularly struggle to complete, build the route for those tasks, and watch real people use it.<\/p>\n\n\n<p class=\"wp-block-paragraph\">Measure search success, repeated questions, outdated content, task completion, and support requests. Then expand only where the system reduces effort.<\/p>\n\n\n<p class=\"wp-block-paragraph\">The right answer may be one well-governed shared drive, not a full intranet. Or it may be an intranet that connects several tools without pretending to replace them. Choose based on how employees need to move through information, because another repository does not fix a navigation and ownership problem by itself.<\/p>\n<div
